Job Summary:

The country’s leading provider of Ticketing, Operations, RFID, and Marketing solutions to music festivals is looking for an Administrative coordinator to join our business development team that works with iconic events like Electric Daisy Carnival, Lollapalooza, Austin City Limits Music Festival and more.  Our team is responsible for expanding Front Gate’s client roster by identifying and selling to top tier prospects, and for retaining the contracts of our existing clients.

The Administrative Coordinator is responsible for organizing the day-to-day sales efforts of the Business Development Department.  The position often serves as first point of contact with clients and supports the team with scheduling, reporting, contract preparation and internal/external correspondence.


  • Schedule meetings, conferences, appointments; manage and update calendars and coordinate logistics
  • Coordinate travel logistics; keep track of flights, changes and frequent flier information
  • Screen inbound leads and act as gate keeper, funnel viable leads through to the sales team; escalate issues when urgent; take detailed messages; relay information as appropriate
  • Organize, track and prioritize potential leads and existing client renewals
  • Act as first point of contact for incoming leads and requests and asses viability for potential follow-up
  • Greet and direct visitors
  • Work closely with Business Development team to maintain accurate sales pipeline, to track key metrics and results, and create monthly sales reports
  • Compile and process expense reports; keep track of deposits and corporate Amex statements
  • Gather, enter and/or update data in records and databases
  • File and maintain all client contracts
  • Establish and maintain the files and records of the executive
  • Assist team members with new client sales and client contract renewals
  • Ensure timely and accurate preparation and delivery of proposals and contracts
  • Serve as liaison between the executive and other departments as directed
  • Support team members during industry conferences, trade shows and networking events
  • Coordinate, supervise, and complete special projects and events as needed
  • Understand FGT services, platform and software applications and learn how to convey value proposition
  • Gain knowledge and experience in event ticketing, analytics, RFID development, sales, marketing and contract negotiations
  • Demonstrate good judgment and discretion related to confidential and sensitive matters and information

Knowledge, Skills and Abilities:

  • 1+ years’ sales or administrative experience
  • Experience in live event industry is a plus
  • Proficient in Salesforce, MS Office Suite: Outlook, Word, Excel and PowerPoint, Photoshop and/or Illustrator, Keynote, etc.
  • Experience booking travel, and other arrangements / accommodations
  • Must have strong communication skills both verbal and written
  • Must be able to think through, evaluate and solve problems logistically and efficiently
  • Must have exceptional organizational skills and meticulous attention to detail
  • Must conduct all matters and communications in a professional and courteous manner as a representative of the executive and the company
  • Ability to be self-motivated and work independently
  • Ability to handle pressure and challenging situations
  • Ability to think creatively about how FGT can service a client’s business
  • Ability to travel and work flexible hours, including evenings and weekends if necessary
